How long will the design process take?

Every project is unique, and the timeline for architectural services depends on factors like the project scope, permitting requirements, and your involvement in the process. At OYAM Studios, we’ve structured our approach into clear phases to guide you through the journey: Introduce, Discover, Test, Refine, Permit, Finalize, and Support. Each phase builds on the last, ensuring a thorough and thoughtful design process tailored to your vision.

From exploring initial ideas and setting a foundation for success the Discover phase, we will also work with you to develop a clear schedule and roadmap through the design process. We’re here to guide you every step of the way, so you know what to expect and can focus on bringing your dream to life.

  • 00. Introduce

    Every great project starts with a simple introduction. This is where we get to meet you—whether it’s over coffee, on a video call, or a quick phone chat. We’ll spend time listening as you share your vision, the “why” behind your project, and the resources you’re ready to invest to bring it to life.

  • 01. Discover

    This is where the adventure begins to take shape. Often called the feasibility or concept phase, this step is about uncovering the unknowns and identifying the essential elements that will guide your project. Together, we’ll create a roadmap that includes a target design schedule, budget, and program, setting the foundation for success.

    We dive into land use and building code research, evaluate site conditions, and explore how factors like budget, regulatory requirements, and timeline might shape your project. We’ll also assess potential risks and opportunities, equipping you with strategies to navigate them confidently.

    This phase is where we start to dream big - exploring early conceptual ideas about the materials, forms, and overall expression of your project. From imagining how the building might sit on the site to thinking about its shape, scale, and personality, this step helps give your vision a tangible beginning.

    By taking the time to understand your goals and priorities, we help define the project’s scope and clarify the spatial, functional, and operational needs. This thoughtful process ensures that your vision is both achievable and inspiring, setting the stage for a project that aligns beautifully with your goals and constraints.

  • 02. Test

    We begin this phase by exploring multiple design options—typically two to three—to ensure we capture the essence of your vision. Through sketches, drawings, and simplified 3D models, we examine spatial relationships, massing, and the overall aesthetic of the building. This iterative process allows us to refine ideas and align them with your budget and project goals.

    Collaboration is key during this phase. We engage in open discussions with you, presenting each option and gathering your feedback to ensure the design aligns with your expectations. This collaborative approach ensures that you are satisfied and in agreement with the project's direction before we proceed to the next phase.

    Additionally, we may involve industry experts, such as cost estimators and structural engineers, to provide preliminary insights into construction costs and feasibility. Their input helps us make informed decisions and ensures that the design is both inspiring and practical.

    By the end of the "Test" phase, we aim to have a well-defined schematic design that serves as a solid foundation for the subsequent stages of your project.

  • 03. Refine

    Known in the industry as Design Development, is where we take the preferred concept identified from the previous phase and hone it into a detailed plan. This stage is all about adding depth and specificity to your project's design, ensuring all elements align with your vision and practical requirements.

    During this phase, we delve into the specifics of materials, finishes, and fixtures, selecting each component to reflect the desired aesthetic and functionality. We develop detailed drawings that specify dimensions, layouts, and the integration of various systems, such as structural, mechanical, and electrical. This comprehensive detailing ensures that all aspects of the design work harmoniously together.

    Collaboration remains at the forefront during the Refine phase. We engage in regular discussions with you to review progress, gather feedback, and make necessary adjustments. This iterative process ensures that the design evolves in line with your expectations and any emerging considerations.

    By the end of the Refine phase, we aim to have a comprehensive and cohesive design that serves as a solid foundation for permitting and construction.

  • 04. Permit

    Permitting is a critical step in bringing your project to life, ensuring compliance with local regulations and protecting the safety and character of the surrounding community. Most architectural projects will require approval from your local jurisdiction, and this process often overlaps with other phases of the project.

    During this phase, we prepare and submit documents specifically tailored for regulatory agencies, ensuring your design aligns with zoning, land use, and building code requirements. This process often includes several rounds of review, with comments and clarifications from the authority having jurisdiction (AHJ) before receiving the final building permits.

    Our team works closely with city officials, consultants, and reviewers to address any questions or required adjustments, keeping communication clear and proactive. Submitting a thorough and accurate permit package not only minimizes delays but also helps keep the project timeline on track.

    By taking the time to navigate this process with care, we ensure your project is set up for success, paving the way for a smooth transition into the construction phase.

  • 05. Finalize

    This stage involves creating comprehensive construction documents that include both drawings and specifications to clearly illustrate how materials join, and systems integrate.

    During this phase, our team develops detailed and well-coordinated drawings. These documents provide precise information on dimensions and materials, ensuring that the design for your project is accurately communicated to the construction team and is ready to build from.

    Collaboration with your selected builder is welcomed in the Finalize phase. Engaging in open dialogue with contractors and consultants allows us to address potential challenges, incorporate practical insights, and foster a sense of trust among all parties. This collaborative approach enhances the accuracy of the construction documents and contributes to a smoother construction process.

    Adhering to best practices in construction documentation, such as maintaining clarity, consistency, and completeness, is essential. Our commitment to these principles helps prevent misunderstandings, reduces the likelihood of errors during construction, and supports the project's overall success.

  • 06. Support

    Construction is an exciting phase, but it’s also where a lot of questions and unexpected challenges will emerge.  That’s where we come in—as your expert support team. We’re here to help answer questions, clarify details, and work through any issues that arise during the build. By keeping communication open between you, the contractor, and us, we make sure decisions are made thoughtfully and with your best interests in mind.

    We’re also your advocates—helping you get the best value for your investment. Whether it’s fine-tuning a detail, reviewing a contractor’s question, or making sure everyone stays on the same page, we’re here to keep the process running smoothly.

    And after construction wraps up, we’re still part of the team. For the first year, we’ll check in to see how the space is working for you. If there’s anything that needs adjusting or questions that come up, we’re here to help. This phase isn’t just about finishing the project—it’s about making sure it works beautifully for you.
